Director of Administration

Camp Wenonah

Camp Wenonah is looking for a Director of Administration to join our year-round, full-time Management Team. 

The Director of Administration is a front-line position, and the successful candidate will plan, coordinate, and manage administration for our Summer Camp, Wenonah Outdoors, and Women’s Weekend programs, as well as other special projects. They also provide information, advice, and decision making support to the Founder / Owner, Senior Directors, and Management Team.

Start Date: February 28 at the latest (an earlier start is preferred)

Salary Scale: $46,000 – $80,000 annually, commensurate with experience

The Director of Administration works mainly from home, with the exception of during our Summer Camp season (late June to Labour Day). All members of our Management Team can expect to spend an average of one day per week at our office in Ancaster outside of the Summer Camp season.

During the Summer Camp season (late June to Labour Day), the Director of Administration is expected to be on-site at Wenonah (near Bracebridge) for an average minimum of three days per week, while working from home at other times. (There is an option, for those who may prefer it, to live full-time at Wenonah during Summer Camp, with accommodations and meals provided on-site). 

Hours: 36.25 hours per week, on average outside of the Summer Camp season. The typical work day is from 9:00 am – 5:00 pm, with limited flexibility around this. We’ll ask that you be flexible to work some weekends and evenings as required. Additional hours will be required during busier times, including during the nine-week Summer Camp season during July and August.

WHAT ARE YOUR RESPONSIBILITIES?

  • Oversee the day-to-day administration for all aspects of the Wenonah operation
  • Provide outstanding customer service to Summer Camp, Wenonah Outdoors, and Women’s Weekend clients
  • Information management and record-keeping, including responsibility for the CampBrain database
  • Financial coordination, including tracking accounts receivable, accounts payable, refunds, petty cash, and reconciliation with the Bookkeeper
  • Coordinate key Summer Camp administrative tasks, including cabin placements, international camper travel, bus and car transportation, one-month camper day-in-town, lost and found, and camper incidentals
  • Coordinate seasonal staff administration including generating contracts, background checks, payroll information, and tracking certifications
  • Manage technology, including computers, software, and other tools required by full-time and seasonal staff
  • Manage relationships with key partners, including Amici Camping Charity, Kids In Camp, Camp Kivita, Camp Jumoke, and Camp Keaton
  • Supervise seasonal office and administrative staff
  • Serve as Privacy Officer for Wenonah and oversee AODA compliance
  • Proactively identify opportunities to improve processes to make client experience better and increase efficiency for Management Team
  • Other duties as assigned

Other “Nice-to-Haves”:

  • You have successfully completed a post-secondary degree or diploma from a University or College
  • You have worked in a full-time capacity as a Camp professional
  • You have experience working with the CampBrain database (or a similar platform)
  • You have experience hiring, supervising, training, and motivating support staff
  • You are familiar with marketing and promotion strategies, including online advertising
  • You have experience contributing to social media strategies for a business or organization (including on Instagram, Facebook, YouTube, and Twitter)
