Job Description: The Summer Administrator plays a key role to ensure the office processes at Camp Winston are current and organized. While this office position is primarily desk based, the team member in this role understands that coordination and organization of the office and processes will support the team members and their ability to focus on the campers. From sourcing supplies to coordinating expense reports and reimbursements. The summer administrator will focus on camp operations while supporting team members in covering breaks, supporting staff complete necessary employment documents and ensuring the right supplies and resources are available for the programming team.
Duties & Responsibilities:
- Responsible for purchasing supplies and coordinating purchase orders
- Establish a timeline for purchasing requests collaborating with programming to ensure supplies are available on time and approved by Heads
- Collect and organize visa charges, receipts, reimbursements
- Answer and direct the Camp Winston phone and respond to inquiries immediately
- Daily oversight of mail@campwinston.com email
- Catalogue media and photos, capture summer photography and videos
- Collaborate with Leads to coordinate teen payouts and camper incentives
- Support the foundation team with database management, payments and collections
- Support the Heads & Managing Director with additional tasks as assigned
- Daily maintenance of office area
- Supports the Site Manager with maintenance requests and oversees usage of walkie-talkies, key accesses
- Coordinate session videos and staff end of season video with media coordinator and leads
- Greets all guests on site and ensures they connect with the appropriate staff member
- Support Leads of Camp with communications via bulletin boards, slack and email as needed
- Support Password resets for staff needing to access Ceridian Self-Serve
- Oversee office during days off
- Prepare payroll reports for processing by Foundation staff in collaboration with Leads
- Tech support for printers, computers, Internet
- Coordinate printing and purchasing requests
- Prepare, distribute, secure and file incident reports for review by Heads/Director
- Guest visit requests approval by Heads and Manage Guest Access including VSCs, Dietary Restrictions, Activities and Accommodations
- Support camp readiness and final-day preparations by ensuring necessary forms and records are prepared for Leads
- Support Heads in safety and emergency response scenarios and training drills
- Follow policies, training guidelines, best practices and protocols
- Each staff member has a duty to report any concerns of abuse, self-harm or breeches to camp’s code of conduct, policies and protocols
- Mentor staff and campers by leading by example – professionalism, appropriate language, work ethic, co-living etiquette, daily hygiene and self-care practices and demonstrating emotional regulation
Camp Winston reserves the right to re-assign the duties of an employee at any time to ensure the safety of our campers, teens and staff. Job may include “other duties as assigned.”
Provided Training Opportunities:
- Attend the Lead training along with other supervisory participation in early June. The training will provide resources and tools on managing and motivating team members, demonstrating confidentiality and professionalism, Duty to report and completing staff and camper incident reports, the function of the medical team and other key strategies
- Participate and support the 10 Day Training session prior to camp prepares our team to support our campers confidently. During training week you will obtain:
- CPI Certification
- Mental Health First Aid training
- Child support and communication techniques
- Overview and understanding of Neurobiological disorders
- Understanding of Care Standards & The Winston Way
- Orientation of the organization
Qualifications & Experience:
- Must have a valid driver’s license and personal vehicle or be insurable and over 21 years of age to drive camp vehicles.
- You enjoy being outdoors, like to laugh and understand fun and silliness are fundamentals of a Summer Camp
- Two years of experience managing team members
- Ability to deliver person-centred care
- First Aid & CPR Certified – St.John’s Ambulance & Canadian Red Cross
- Enjoys working with Children and Teen’s and interest in Child/Teen Development
- Willingness to obtain CPI training (provided by Camp Winston)
- Willingness to abide with Public Health recommendations and standards
- Proof of current vaccinations, including COVID-19
- Satisfactory police record and vulnerable sector check
- Strong communication skills
- Ability to resolve conflict and work with a variety of personalities
- Ability to set and achieve team goals
- Collaborative relationship-builder

- Enjoys working outside in rustic camp environment
- Ability to work offline with limited access to wifi
- Relevant post-secondary education
- Insurable licensed driver with a clean driver abstract
Location, Hours, Work Environment & Compensation:
- Summer Salary: $15 – $17/hour based on experience
- Start and End Dates June 1 – August 30th, 2023
- Personal Day Off during each camp session *must be submitted and prescheduled*
- Comfortable with Camp Dynamics of living on-site at your place of work
- Co-living with a roommate; capable of being a respectful and courteous roommate
- All meals will be provided (on & off shifts), and individualized meal plans are available (vegetarian, vegan, GF/DF, etc.)
- Full access to all camp amenities when off shift
